Position Summary:
The Finance & Human Resource Coordinator is responsible for assisting the Finance Department in completing transactions related to NRRA’s cooperative marketing programs as well as assisting with accounts receivable functions, bank deposits, maintaining vendor information, filing, and human resource tasks. The Finance & HR Coordinator works under the direct supervision of the Finance and HR Director and follows established procedures and guidelines within the department. Excellent attention to detail and the ability to work effectively and accurately is essential for this position. The successful candidate will have a desire to learn and excel in a fast-paced environment, possess a degree, and have an accounting background with two years of related experience--OR any equivalent combination of experience and education that demonstrates possession of the required knowledge, skills and abilities--have excellent customer service skills, and support NRRA’s mission to partner with communities to make recycling and waste reduction strong through economic and environmentally sound solutions. This position is based at NRRA headquarters in Epsom, NH although working remotely at times may be an option.
Essential duties and responsibilities:
- Data Receipt, Collection, and Entry
- Receive weights, pricing, and other information related to NRRA cooperative marketing program activity
- Monitor accounting emails, print tickets/invoices as necessary
- Copy weights, Purchase Orders, Bills of Lading, and other related information into transaction database
- Track and retrieve missing weights on a regular basis to complete transactions in a timely manner
- Work with Logistics and Member Services to resolve discrepancies or issues with any transactions as needed. Coordinate resolution with vendor if required, and keep Finance and HR Director informed of status and outcomes
- Verify accuracy of and accurately enter weights, pricing and related information into transaction database
- Accounts Receivables/Payables
- Create and send customer and vendor invoices
- Oversee and coordinate issuing checks and invoices for vendors and customers
- Post vendor and customer payments in QuickBooks, and research and resolve any discrepancies between payments and invoice amounts as discovered
- Oversee and coordinate execution of bank deposits into NRRA checking accounts using on-site bank teller machine to ensure deposits are completed and any discrepancies are resolved
- Oversee and coordinate follow up on past-due invoices by working with other finance staff to make collection calls, send emails or other forms of communication including sending invoice copies, answering questions, and providing other requested documentation
- Alert Finance and HR Director of any difficulties or issues as they arise to obtain guidance on how to resolve
- Promote and educate members on using electronic invoicing and ACH payment options
- Oversee and coordinate gathering data needed as support for annual audit
- Customer and Vendor Maintenance and Relations
- Make updates as needed to customer and vendor contacts in appropriate spreadsheets and/or database
- Respond to customer and vendor questions, complaints or requests
- Proactively work with customers and vendors to resolve any issues or discrepancies, and coordinate with Finance and HR Director for guidance if needed
- General Administrative Tasks
- Oversee and coordinate filing of receivables and payables (checks, invoices, etc.) as needed
- Participate in a variety of meetings as needed including but not limited to finance department, staff meetings, vendor relations, etc.
- Take the lead on projects as requested by Finance and HR Director
- Prepare reports/analysis related to QuickBooks, Salesforce or finance in general as requested by Finance and HR Director
- Prepare written communications including emails, memos or other correspondence as needed
- Learn and use new software programs, tools, and resources as necessary to assist with completing tasks efficiently (such as Teams, Salesforce, Video conferencing, Website, etc.)
- Assist other departments when they are short-staffed as directed/approved by the Finance and HR Director
- Report any issues or concerns about any job-related functions to the Finance and HR Director right away for guidance or assistance, including making suggestions on possible solutions or resolutions
- Human Resource Tasks
- Assist the Finance & HR Director with preparing, disseminating, collecting, and filing confidential human resource documents and records
- Coordinate with NRRA employees and benefit service providers to ensure accurate and timely submission of human resource documents
- Maintain in strict confidence sensitive employee information including pay and benefits
- Special Events
- Provide administrative support as needed to help NRRA plan, organize and execute successful events such as annual conference, annual meeting and any other events as necessary (this includes attending the event and could require being away from home overnight(s)for the duration of the event)
- Other duties as assigned

Qualifications and Skills Required:
- Associate or bachelor's degree and two years of relevant experience or equivalent combination of education, training or experience OR any equivalent combination of experience and education that demonstrates possession of the required knowledge, skills and abilities
- Excellent written and oral communication skills
- Ability to communicate effectively with people of various backgrounds and interests
- Ability to consider others’ points of view and assume good intentions
- Reliable, with excellent attention to detail and organization
- Proficient in use of Microsoft Office Suite, particularly Outlook and Excel
- Good understanding of Banking and Accounting practices

Qualifications and Skills Preferred:
- Familiarity and basic understanding of recycling, composting, and waste management and diversion
- Experience using QuickBooks or similar accounting software
- Salesforce and general database experience
- Microsoft Teams experience
- Accounting and customer service background
Working Conditions:
The position includes primarily office work. Environmentally conscious office culture within 15 minutes of downtown Concord, New Hampshire. Weekend or evening work is required occasionally, typically not more than a few times per year. Travel and overnight stay may be required for annual conference.
Physical Requirements:
Ability to sit for extended periods of time. Light lifting may be required on occasion.
